1. Introduction
One Ten Labs, LLC(“One Ten Labs,” “we,” “us,” or “our”) operates the Waqt scheduling platform at usewaqt.com (the “Service”). This Privacy Policy explains how we collect, use, disclose, and safeguard information in connection with the Service. By using the Service, you agree to the practices described in this Policy.
2. Information we collect
We may collect the following categories of information:
- Account and organizational information: agency name, department name, administrator name, and work email address, provided when an account is provisioned.
- Scheduling data: appointment dates, times, and candidate first and last names submitted by departmental users to book Live Scan appointments.
- Document files: PDF, DOCX, XLSX, and image files uploaded through the document management feature.
- Audit log data: timestamps, user identity, and action records generated automatically by system activity.
- Usage data: log data, IP addresses, browser type, and interaction data collected automatically when you access the Service.
- Contact form submissions: information submitted through usewaqt.com contact forms, including name, work email, organization, and message content.
3. How we use information
We use collected information to:
- Provide, operate, and maintain the Service
- Send appointment confirmations, reminders, and administrative notices
- Maintain audit logs as required for compliance purposes
- Respond to inquiries and support requests
- Improve the Service and monitor for security incidents
- Fulfill obligations under customer contracts and applicable law
4. Information sharing
We do not sell personal information. We may share information with third-party service providers that assist in operating the Service (cloud hosting, email delivery, malware scanning), under contractual obligations that restrict their use of that information. We may disclose information as required by law or to protect the rights, property, or safety of One Ten Labs, our customers, or the public.
5. Data residency and storage
Data processed by the Waqt platform is stored in U.S.-resident cloud infrastructure. One Ten Labs does not transfer customer data to offshore storage or processing environments without explicit contractual authorization.
6. Security
We implement administrative, physical, and technical safeguards designed to protect information against unauthorized access, disclosure, alteration, and destruction. These include encryption at rest (AES-256), encryption in transit (TLS 1.2+), access controls, and audit logging. No security system is impenetrable; we will notify affected parties of security incidents as required by applicable law.
7. Retention
We retain data for the duration of the customer relationship and for such additional periods as required by contract, law, or legitimate business necessity. Document retention within the platform is configurable with a minimum of 24 months.
8. Your rights
Depending on your location and applicable law, you may have rights regarding your personal information, including rights to access, correct, delete, or restrict processing. To exercise these rights, contact us.
9. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active customers. Continued use of the Service after changes are posted constitutes acceptance of the updated policy.
